Connecting a SharePoint, in five steps

Count half a day with your IT provider for the first step, a few minutes for the rest.

    One Microsoft authorisation, once

    Your IT team — or your provider — consents to a read-only Microsoft Entra ID application on files and sites. No service account to create, no password to hand over to us, and the authorisation is revocable by you at any time.

    You choose the scope

    A SharePoint library or a business OneDrive, and a specific subfolder if needed. We almost always start small: a quality space, a procedures folder, a legal directory.

    You set the filters

    File extensions, last-modified date, path keywords to include or exclude, maximum size. This is what stops you from indexing ten years of drafts and inflating the bill for nothing.

  4. 4

    The sync runs

    Hourly, nightly, weekly or on demand. Only files changed since the last pass are re-read, and a deletion on the SharePoint side removes the document from the knowledge base.

  5. 5

    Documents become answerable

    Every file goes through Pending → Processing → Indexed. The bytes stay with Microsoft: the platform only stores a reference and fetches the file on demand. A file can be permanently excluded and never come back, even if it still matches the filters.

    Floor area, 3/6/9 term, effective date, annual rent, indexation clause: these are the lease terms, not a loose paraphrase.
